Terms for Instrument Hire
1. Introduction
Instrument hire through Shropshire Music Service (SMS) allows pupils to access quality, well-maintained instruments at an affordable cost. These terms explain how the scheme operates and what’s expected from parents, carers, and schools.
2. Duration of Hire
- Instruments are normally hired for the duration of tuition, whether in school or through an SMS-led group.
- Hire continues term-by-term until the instrument is returned or the agreement is cancelled in writing.
- SMS reserves the right to recall an instrument for servicing, replacement, or reassignment if necessary.
3. Condition and Maintenance
- All instruments are supplied in good working order and checked by qualified technicians.
- Parents/carers agree to take reasonable care of the instrument and report any damage or loss immediately.
- Minor maintenance (such as replacing strings, reeds, or valve oil) is the responsibility of the hirer.
- SMS will arrange major repairs or replacement due to normal wear and tear at no additional charge.
- Damage resulting from neglect, misuse, or unauthorised repair may incur a repair or replacement cost.
4. Loss or Theft
- If an instrument is lost or stolen, the hirer must inform both the school and SMS immediately and provide a written account.
- In some cases, proof of a police report may be required.
- SMS will advise on replacement options and any costs that may apply.
5. Fees and Payment
- Hire fees are reviewed annually and published on the SMS website and in enrolment forms.
- Fees are payable termly in advance. Late payments may result in suspension of hire.
- Concessionary rates may be available for families in receipt of specific benefits or financial assistance.
6. Returning the Instrument
- Instruments must be returned at the end of the hire period in good condition, with all accessories.
- Returns should be arranged through the school or directly with SMS.
- Failure to return the instrument after reasonable notice may result in an invoice for replacement value.
7. Liability
- While every effort is made to ensure instruments are safe and reliable, SMS cannot be held responsible for injury or damage resulting from improper use.
- Pupils must be supervised appropriately when using instruments, particularly in early learning settings.
8. Agreement
By accepting an instrument from SMS, the hirer acknowledges that they have read, understood, and agreed to these terms.
